PROJECT MANAGER

Job Purpose:

The position is responsible for ordering and managing the material for our RRV Tiling division, invoicing all drainage projects within the division, archiving as-built drawings, and ensuring all information is provided for production crews.

Essential Job Functions/Responsibilities:

Position will receive oversight and supervision from RRV Engineering Manager.

 

Education/Experience/Skills (supported by job duties):

Preferred education: 4 year degree in Construction Management, Construction Engineering, Purchasing, Logistics, Accounting, Business/Management or other related field. Minimum education: 2 year degree.

Preferred experience:

Previous project management experience and dealing with product vendors a plus.

Essential skills:

Highly organized and detail oriented. Effective verbal and written communication skills, including ability to be assertive when necessary. Strong mathematical aptitude and analytical skills. Ability to correctly read maps and relay locations/directions to others. Experience using Microsoft Office suite including proficiency with Excel at the intermediate level. Motivated self-starter requiring minimal supervision.

Preferred skills: Previous drafting experience a plus, but not necessary.

Hours

This position requires an individual to work 40+ hours per week to include being available by phone after hours and weekends. Time will be spent primarily in an office setting with some field work.

Physical Demands

Job Purpose

The purpose of this position is to plan, design, and assist directing civil engineering projects such as: water and sewer projects, underground utilities, pipeline, and drainage systems.

Job Qualifications

Bachelor’s degree (B.A.) from a four-year college or university; or two years of related experience and/or training is a requirement for this position. A combination of experience and education is strongly preferred. Applicants must have good working knowledge of Microsoft Office products. HCSS or Hard Dollar knowledge is preferred for estimating software.

Job Knowledge, Skills, & Abilities

Applicants should have the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and government regulations. The estimator should possess the ability to write reports, business correspondence, and procedural manuals. This position will also have the responsibility of effectively presenting information and responding to questions from groups of managers, subordinates, clients, customers, and the general public.

Applicants should have expert math skills. The Construction Estimator should have the ability to work with mathematical concepts such as: probability, statistical inference, and the fundamentals of plane and solid geometry and trigonometry. The Construction Estimator should also be able to think critically to problem solve. This position requires taking the initiative to define the problem, collect data, establish facts, and draw valid conclusions; while interpreting an extensive variety of technical instruction in mathematical or diagram form; and dealing with several abstract and concrete variables. Applicants must be willing to adapt quickly to changing environments and schedules. They should also work well with short deadlines for multiple tasks and communicate effectively.

Job Purpose
The RRV Office Manager is responsible for supporting the Harwood office operations by maintaining office systems and vendor relationships; supervising administrative staff; maximizing the effectiveness of the RRV General Manager and other Company leaders by providing information management and administrative supports; and performing some basic accounting functions. This position oversees a variety of general office and customer service activities and is responsible for compliance with the Company’s office-related and employment policies and procedures.

Job Responsibilities

Supervisory:
• Supervise Administrative Assistant whose duties include, but are not limited to: welcome on-site visitors; answer incoming telephone calls; RRV Agricultural Department job set-up; issue Purchase Orders for RRV staff; enter/update One Calls (in absence of RRV HR/Safety Coordinator); oversee scheduling of conference rooms; store and distribute office supplies; prepare packages for shipment; maintain internal phone list; and perform other regular and ad hoc clerical duties including word processing, data entry, copying, collating and filing.
• Effectively set priorities and monitor work assignments delegated to Administrative Assistant; train in job duties and procedures; ensure performance standards are met; establish formal means of accountability; provide adequate direction; and conduct regular performance evaluations.
• Analyze and review Administrative Assistant duties and responsibilities in relation to job description and recommend changes as needed.

Executive/Leadership Support:
• Provide executive support to RRV General Manager and other RRV leaders by reading, researching, and preparing reports or other summaries of data; collecting and analyzing information; drafting letters, documents, forms, agendas and presentation materials; and making travel arrangements.
• Provide executive support to RRV General Manager by managing and maintaining GM’s schedules/ calendars; assisting with completion and filing of GM’s expense reports; organizing and maintaining GM’s records, reports and files; and maintaining GM’s contact lists and databases.
• Complete assorted projects of varying complexity which may involve collecting and analyzing information.
• Perform various other duties as assigned by RRV General Manager.

Accounting:
• Ensure that all RRV Agricultural Department jobs are set up accurately and timely.
• Complete budget updates as necessary.
• Process RRV office invoicing; collaborate with the Sales Team to meet deadlines; collaborate with Accounting Team at Company headquarters to achieve deadlines and understand cut off times.
• Assist with Pump Inventory Management.
• Deposit checks received at RRV office into the bank electronically.
• Maintain RRV petty cash and corresponding documentation; reconcile RRV petty cash.
• Manage checks for the RRV Small Payment Account.

General Office Administration:
• Manage the efficient and effective day-to-day operation of the RRV office.
• Ensure the RRV office is maintained in a professional, productive manner with a strong customer service emphasis.
• Provide excellent external and internal customer service and maintain positive customer/vendor/ employee relations.
• Maintain compliance with the Company’s policies, procedures and best practices.
• Evaluate overall office productivity; with RRV General Manager and/or staff at the Company’s headquarters, as appropriate, assist in developing or revising office policies and procedures for improved work flow; implement approved procedural changes to improve operational efficiency and automation.
• Develop and maintain filing systems – both paper and electronic – to ensure documents are appropriately protected and secured with the appropriate level of confidentiality.

• Serve as primary liaison with office-related vendors such as office cleaning; window cleaning; towel and floor mat rental; lawn care; snow removal; copier/printer equipment; office supplies; and food/beverage vending machines.
• Administer and control budgets for RRV office-related contracts, equipment and supplies.
• Obtain and analyze quotes for services and/or products needed by the RRV office.
• With RRV General Manager and/or staff at the Company’s headquarters, as appropriate, select office-related vendors, make purchase decisions, etc.
• Ensure that office-related vendors are meeting the Company’s expectations in terms of quality, productivity, safety and timeliness.
• Ensure that parking lots, walks and other Company property are shoveled and plowed timely and satisfactorily. Ensure that all lawn and garden work is completed as appropriate.
• Manage the maintenance and proper functioning of office machines, furniture and all leased office equipment including photocopy machines and printers.
• Responsible for the acquisition, storage, inventory and distribution of office supplies, office products, and supplies for conference rooms, training rooms, break rooms, etc.
• Maintain functionality, professionalism and supply of conference rooms, training room, break rooms, and supply/storage rooms/closets.
• Establish and maintain a central file system for all office-related contracts and supplier agreements.
• Tour and cooperate with federal, state, fire and other inspectors at Company property as needed.
• Act as primary liaison with regard to the office as it pertains to security and safety issues.
• Serves as the RRV point of contact for emergency procedures and drills.

• Along with RRV General Manager, approve space allocation and changes; coordinate, facilitate and assist with office moves.

• In absence of RRV HR/Safety Coordinator, perform New Hire Orientation Meeting including the accurate completion and submission of all new hire paperwork.
• Provide basic computer and/or phone training to new hires who are assigned computers, desk phones and/or cell phones.
• Act as the RRV liaison with I.T. staff at the Company’s headquarters. Maintain and help repair computers, phones, and other technological equipment.
• Collaborate with RRV HR/Safety Coordinator on the ordering, distribution, collection, order cancellation and invoice review related to rental uniforms for employees.

• Open and distribute mail in a confidential, timely manner.
• Establish and maintain office filing system(s).
• Ensure front desk is covered by personally backing up Administrative Assistant, scheduling alternative internal staff and/or hiring through a temporary staffing agency as appropriate.
• With Administrative Assistant, RRV HR/Safety Coordinator and/or others, arrange meals/snacks for training sessions, meetings, customer visits, etc.
• Provide administrative support for other departments as requested.
• Other projects/duties as assigned for the overall benefit of the Company.

Job Qualifications
• Bachelor’s degree in Accounting, Business or related preferred; associate degree with equivalent experience may be considered.
• Minimum five years of experience in office management/administration including basic accounting responsibilities; executive administrative support; and vendor relations and contract management.
• Minimum two years of experience supervising employees who perform administrative/clerical functions.

Motivated self-starter requiring minimal supervision.

Preferred skills: Previous drafting experience a plus, but not necessary.

Hours

This position requires an individual to work 40+ hours per week to include being available by phone after hours and weekends. Time will be spent primarily in an office setting with some field work.

Physical Demands

Ability to sit and work at a computer station for 8+ hours per day.
